Terms of Use – Recruiting Rewards

Welcome to Recruiting Rewards! By using our platform, you agree to the following terms and conditions. The platform provides a SaaS solution that enables recruitment across Europe, tailored to local rules and regulations.

1. Terms and Conditions for Companies

1.1 Recruitment and Appointment

The Company agrees to use the Recruiting Rewards platform to advertise job openings and receive qualified candidates from registered Recruiters.

  • Payment is only made upon successful appointment.

  • The minimum approved amount for a job advertisement is 45,000 SEK.

  • Ads are always first sent to Recruiting Rewards for review. Ad amounts below the limit may be approved in some cases after special consideration.

1.2 Payment

  • The company is obliged to pay the invoice for each successful recruitment within 14 days of the signed employment contract.

  • Payment of the recruitment fee is made to Recruiting Rewards.

  • Recruiting Rewards will pay the Recruiter within 30 days of receiving payment from the company.

  • In the event of delayed payment from the Company, Recruiting Rewards bears no responsibility for non-payment or delayed payment to Recruiters.

1.3 Candidate Information and Privacy

  • All data that the company shares on the platform is made visible to selected recruiters in order to support the recruitment process.

  • Information about recommended candidates may not be shared with third parties, including subsidiaries, without written consent from both the Recruiter and the candidate.

  • If a recommended candidate is hired in other roles as a result of the recommendation, the company is still obligated to pay the agreed fee according to the job advertisement.

1.4 Information obligation upon employment

  • The company is obliged to inform Recruiting Rewards if a recommended candidate is employed by the company within 6 months of the recommendation being given and from the last date the advertisement is activated.

  • If the candidate was initially declined but later hired within this timeframe, the payment obligation still applies.

1.5 Warranty terms

  • Guarantee (replacement guarantee or refund terms) only applies if expressly agreed in writing, where stated in the job advertisement and approved by Recruiting Rewards support.

  • The warranty period can vary between 1–6 months depending on the assignment and must be agreed in advance.

  • The guarantee only applies if the invoice is paid within the due date.

  • When using the guarantee, the Company must notify Recruiting Rewards within 14 days of the candidate leaving the service and has up to 3 months from the date of termination of the candidate the right to demand compensation, after 3 months from the date of termination Recruiting Rewards' compensation claims do not apply.

2. Terms and Conditions for Recruiters

2.1 Recruitment responsibility

  • Recruiters receive rewards for each successful recruitment via their candidate presentation.

  • The reward constitutes 70% of the fee paid by the Company to Recruiting Rewards.

  • Payment is made within 30 days of Recruiting Rewards receiving payment from the company, provided that the recruiter has invoiced Recruiting Rewards as agreed.

2.2 Responsibility for Candidate Qualification

  • Recruiters are required to conduct an interview and qualify the candidate for the role before the presentation takes place.

  • Recruiters are also required to ensure that the candidate explicitly wants to be presented for the specific position. The candidate should be fully informed about which company and which position it concerns.

2.3 Candidate Consent

  • Recruiters may only forward candidates' information to Companies after obtaining their express consent.

  • It should be clear to the candidate which actor receives their information.

2.4 Replacement candidates under warranty

  • When replacing candidates due to a guarantee from the company, the recruiter is required to present potential replacement candidates within 30 days from the date the company reactivates its compensation.

  • If this does not happen, the Recruiter is liable for a refund of the original reward.

2.5 Undue influence on Company

  • Recruiters may not contact Companies on the Platform for the purpose of offering competing recruitment services or undermining Recruiting Rewards.

  • In case of violations, the user will be contacted. In case of repeated cases, the user may be suspended.

3. Common Provisions

3.1 Privacy and GDPR

  • All parties are responsible for complying with applicable data protection legislation, including GDPR.

  • Recruiting Rewards is not responsible for any crimes or violations committed by Companies or Recruiters.

  • Each user is responsible for their own handling of personal data within the platform.

  • The Recruiter is fully responsible for ensuring that all personal data processing in connection with the recommendation of candidates to the Recruiting Rewards platform is carried out in accordance with applicable data protection legislation (GDPR). This includes that the Recruiter must have obtained explicit consent from the candidate before sharing personal data with Recruiting Rewards. The Recruiter guarantees that the candidate has been informed about how their data will be used, and that the data is accurate and relevant to the current process.

  • Recruiting Rewards is not responsible for any incorrect or inappropriate sharing of information that occurs without the candidate's consent. All responsibility for such sharing rests with the recruiter who provided the recommendation.

  • Candidates always have the right to contact Recruiting Rewards to request that their personal data be removed from the platform. Such a request will be processed promptly in accordance with the GDPR.

3.2 Workspace functionality

  • The platform enables the creation of shared workspaces for both Companies and Recruiters.

  • All information in a workspace is visible to all participants.

  • Companies can create job postings and accept candidates. Recruiters can present candidates for multiple positions within the workspace.

  • Only one person per workspace may register billing information and send an invoice per appointment.

3.3 Candidate ownership disputes

  • In the event of a dispute regarding candidate ownership – where the Company claims that the candidate was already in their system – it is the Company’s responsibility to provide clear and written documentation that proves that the candidate has been in active contact with the Company for recruitment purposes for the specific role published on the Platform. Such documentation may include, for example, emails, CRM logs, or other traceable communications, and must demonstrate actual dialogue regarding the position in question within 30 days prior to the candidate’s entry via the Platform.

  • The platform applies the first-come, first-served principle, which means that if the Company cannot provide sufficient documentation as above, the candidate is considered to have been referred by the recruiter via the platform.

  • In the event of a disagreement regarding the validity or sufficiency of the documentation provided by the Company, Recruiting Rewards reserves the right to make a final assessment in the matter.

  • If documented contact cannot be proven according to these terms and conditions, the Company is liable for compensation if the candidate is employed.

3.4 Limitation of liability

  • Neither party is liable for indirect damages.

  • Recruiting Rewards disclaims all liability for improper use of the platform by users.

3.5 Changes to Terms

  • Recruiting Rewards has the right to update these terms and conditions at any time.

  • All changes will be announced via the platform.

  • Special terms or deviations from these Terms of Use may apply to specific customers, but such terms are only valid if expressly approved in writing by Recruiting Rewards via email or through a digital agreement.

3.6 Applicable Law and Dispute Resolution

  • The terms and conditions are governed by Swedish law.

  • Any disputes will be resolved in Swedish courts or, where applicable, via local dispute resolution in the EU country where the Company is based.

4. Consent and account closure

By using Recruiting Rewards, you agree to these terms and conditions.
If you do not agree to the changed terms, you can terminate your account by deleting it directly on the platform or contacting support.
